Managed IT For Construction Firms

Concierge-level managed IT for construction firms whose project owners, crews, and bonding companies expect the work to keep moving. Estimating environment, project-site connectivity, mobile workforce, AI policy, and bonding-grade security posture handled. Founder-led since 1982.

What Does An MSP Do For A Construction Firm?

Hi-Tek Data is a managed IT services provider for construction firms across the United States: general contractors, specialty subcontractors, design-build firms, and civil construction. Headquartered in Syosset, NY, founder-led since 1982. We run the firm’s IT environment (servers or Azure, endpoints, network, Microsoft 365, identity, backup), support the office and field staff who work in it, and integrate the platforms construction firms run on (Plexxis, OST QuickBid, Procore, Sage 100/300 Construction, Foundation). Plus the security stack, project-site connectivity, AI policy, and bonding-company and cyber insurance posture mid-market construction firms now need each renewal cycle.

— What Keeps You Up At Night

What’s On Your Mind

Bid day is Friday and the estimating environment crashed Wednesday. The estimator is rebuilding takeoff data from scratch.

Your bonding company emailed asking for cyber posture documentation before underwriting the next project. The deadline is in two weeks.

Procore, Plexxis, or Sage CRE is slow on second shift and the project managers are emailing files instead of using the system.

The new jobsite is opening in three weeks. The IT plan is a consumer router and a prayer.

AP got a fake invoice email that looked like it came from your concrete supplier and almost wired $84,000 before the bookkeeper caught it.

Ransomware hit mid-project. Your prior MSP can’t tell you when restoration completes or what files you’ll lose.

What Hi-Tek Delivers For Construction Firms

Helpdesk For The Office And The Field

A named pod of senior helpdesk supports your estimators, project managers, superintendents, field crews, finance, and admin team. We know how construction actually runs: bid deadlines, project starts, mobile superintendents on jobsites, equipment and material logistics. Executive support tier for owners and managing principals.

Your Environment, Office Plus Jobsite

Servers (on-prem or Azure), office endpoints, mobile devices for field crews, project-site network and WiFi, Microsoft 365 tenant, identity, backup. We size, run, monitor, and recover the environment. Hardware lifecycle and refresh planning are part of the engagement.

Security Built Around Bonding And Bid Confidentiality

EDR on every endpoint, 24/7 monitoring, MFA, conditional access, privileged access management, email security, DNS filtering. Designed around the threats that actually hit construction: bid-data exfiltration before submission, BEC against AP for vendor payment fraud, ransomware mid-project, jobsite WiFi exposure.

The Platforms Your Firm Runs On

Estimating (Plexxis, OST QuickBid, Sage Estimating, On-Screen Takeoff), project management (Procore, Sage Construction, Foundation), accounting and job cost (Sage 100 Contractor, Sage 300 CRE, Foundation, ComputerEase), document management, plan markup, and field productivity tools. Microsoft 365 integration, identity and access controls, and custom workflow tie-ins handled.

AI Your Firm Can Defend

Written AI policy aligned to bid confidentiality, project-owner contractual expectations, and your bonding and cyber insurance carriers. Microsoft 365 Copilot governance for office productivity, the Hi-Tek Managed Secure AI Platform for cases where Copilot isn’t the right fit, and surrounding infrastructure for whatever third-party AI tools the firm chooses for estimating, scheduling, or field productivity.

Bonding Company And Cyber Insurance Ready

Bonding companies increasingly ask for documented cyber posture before underwriting larger projects. Cyber insurance carriers ask the same. We handle both questionnaires and the supporting documentation. Annual risk assessments, penetration testing, tabletop exercises, and the evidence package when the bonding company, the carrier, or a project owner asks.

The Posture Bonding Companies And Owners Now Ask For

Construction firms used to face cyber posture questions only at insurance renewal. That has changed. Bonding companies now ask before underwriting larger projects. Project owners, especially institutional and government owners, ask before awarding contracts. Your largest GC clients ask before adding you to their preferred-sub list.

The firms that have answers ready win the projects they want to win. The firms that don’t either decline the work or scramble to produce documentation under deadline pressure.

We document the posture continuously: written cybersecurity program, multi-factor authentication, access controls, monitoring, incident response, vendor management, training records. When the bonding company, the carrier, or the project owner asks, the answer is already on the shelf.

How We Engage

Step 1 · Free Assessment

A 30-minute call about the firm, current MSP situation, estimating and project management setup, jobsite connectivity, and any pressing bonding, cyber insurance, or AI questions. We tell you what we would change, with or without us.

Step 2 · Written Proposal

Per-user pricing based on user count, sites, scope, and operational posture. Project work scoped separately. No surprise line items. Bonding documentation deliverable schedule defined explicitly.

Step 3 · Onboarding Inside 30 To 60 Days

Named project owner, weekly written status updates, estimating and project management handoff coordinated. Most onboardings complete with no project disruption.

“Our prior MSP had us a single hard-drive failure away from a multi-day outage, and our bonding company asked for cyber posture documentation we couldn’t produce. Hi-Tek migrated us to Azure, deployed identity and access controls, and produced the bonding documentation inside three weeks. The bid we were chasing came in.”

Frequently Asked Questions About Construction IT

What does an MSP do for a construction firm?

An MSP runs the firm’s IT environment so the firm can run the projects. For construction, that means estimating environment uptime, project management platform integration, mobile field connectivity, security posture aligned to bonding and insurance, and a helpdesk that knows the difference between a stuck Plexxis bid and a stuck email. Hi-Tek handles all of it as one engagement.

Do you work with Plexxis, OST QuickBid, Procore, and Sage CRE?

Yes. We support the construction stack as part of the standard engagement: Plexxis, OST QuickBid, Sage Estimating, On-Screen Takeoff for estimating; Procore, Sage Construction, Foundation, ComputerEase for project management and job cost; the document management and plan markup tools that go with them. We handle the Microsoft 365 integration, identity and access, and infrastructure these platforms run on.

How does Hi-Tek handle bonding-company cyber documentation?

Continuously, not at deadline. Documented cybersecurity program, MFA, access controls, monitoring, incident response, vendor management, training records — built and maintained as part of the engagement. When the bonding company asks, the evidence package is already on the shelf. We complete the questionnaire on your behalf and coordinate with your bonding agent.

What about jobsite WiFi and connectivity?

Project-site network design, jobsite WiFi deployment, cellular failover, secure remote access for superintendents and field crews. Connectivity scoped per project based on duration, footprint, and security requirements. We integrate with the firm’s existing identity and security posture so jobsite endpoints are not a separate, riskier environment.

How do you handle wire fraud and AP BEC risk in construction?

Layered. Email security with anti-impersonation, conditional access on identity, written process controls in the AP workflow (callback verification, dual approval, change-of-banking-information procedures), training that reflects the actual scenarios construction firms see. We work with the AP team, not just the IT environment, because BEC defense is a process problem and a technical problem.

Is Microsoft 365 Copilot safe for our work?

With the right governance, yes. Copilot can index the firm’s bid documents, project files, and contracts. We configure Copilot scoping, sensitivity labels, and access controls so AI exposure of bid data and project financials is contained. The written AI policy aligns to bid confidentiality, project-owner contractual expectations, and your bonding and cyber insurance carriers.

Do you support specialty subcontractors?

Yes. Specialty subs (mechanical, electrical, plumbing, HVAC, fire protection, glazing, drywall) are a core part of our construction practice. The estimating environment, mobile field workforce, and bonding posture work the same. The differences are in the platform mix and the field tooling, both of which we handle as part of the engagement.

What about residential builders and developers?

Multi-family and custom residential are well within scope. The platforms differ from commercial GC work (more emphasis on Sage 100 Contractor, ComputerEase, and the residential job cost stack), but the operating model — estimating, project management, jobsite connectivity, security posture — is the same.

Do you work with construction management firms?

Yes, both CM at-risk and CM as agent. The IT model emphasizes secure document collaboration with multiple parties, identity controls for owner and trade contractor access, and project-by-project segmentation where appropriate. Bonding-company posture is generally lighter than for GCs but is still part of the engagement.

What’s the onboarding process?

30 to 60 days typical. Named project owner, weekly written status updates, no service interruption to estimating or project management workflows. Cutover scheduled around bid calendars and project starts. The full onboarding model is documented at /resources/how-hi-tek-onboards/.

Can you handle co-managed where we have an internal IT lead?

Yes. Co-managed engagements where the firm has an internal IT lead or a small internal team are common. Documented boundary between Hi-Tek and internal IT, weekly cadence, shared tooling. Internal IT keeps the work that should stay internal; Hi-Tek covers the layers they cannot or should not own alone (24/7 monitoring, advanced security, vCIO strategy, bonding-company documentation).

What does Hi-Tek not take on?

Pure break-fix without a managed services posture. Construction firms whose intent is to call only when something breaks are not a fit for our model. We are operationally proactive by design, which is the value we bring. Firms looking for that posture, especially those facing bonding or cyber insurance pressure, are well-served by us. Firms wanting only reactive support are not.
